Short description of collection
This collection contains materials accumulated by Frank K. Edmondson during his tenure as Treasurer of the American Astronomical Association from 1954 to 1975. Primarily, the materials include council minutes, records of meetings, financial reports, membership records, National Science Foundation grants, as well as correspondence relating to these subjects. The collection also includes records from previous Treasurers, namely Frank C. Jordan, Keivin Burns, and Jason J. Nassau.

The American Astronomical Society (AAS) was founded at a conference of astronomers and astrophysicists that was held in October 1897 in conjunction with the dedication of Yerkes Observatory in Williams Bay, Wisconsin. Dedicated to the "advancement of astronomy, astrophysics, and related branches of physics," the Astronomical and Astrophysical Society of America had its first official meeting in September 1899. In 1914 the name of the Society was changed to the American Astronomical Society. In 1960 the AAS began a relationship with the American Institute of Physics to handle AAS membership and subscription services, and in 1966 the AAS became a Member Society of the American Institute of Physics. The AAS was a volunteer-run association until 1962 when Paul Routly was hired as the first executive officer with offices in Princeton, New Jersey. In 1979, the headquarters of the AAS were moved to Washington, DC with Peter Boyce as executive officer.
Before 1920, the AAS held annual meetings. Since that time, meetings have been held twice each year, once in late summer and once in winter, each period coinciding with breaks in the academic calendar. Programs at these meetings consist mainly of papers submitted by members, the abstracts of which are published in the Bulletin of the American Astronomical Society. The first of the American Astronomical Society's journals, Publications, ceased publication with Volume X in 1943. Current publications include the Astronomical Journal, the Astrophysical Journal, and the Bulletin of the American Astronomical Society.
Throughout its history AAS has concerned itself with the issues of education and employment in the sciences, particularly astronomy, by participating in the work of the Scientific Manpower Commission, creating numerous committees to investigate and further education in astronomy, awarding prizes and grants for excellence in astronomical research, and administering the Foreign Visiting Professors Program (recently named the Harlow Shapley Lectureships) which brings noted foreign astronomers to the United States to teach and do research.

This collection reflects the tenure of Frank K. Edmondson as treasurer of the American Astronomical Society from 1954 to 1975, but also includes the records of past treasurers Frank C. Jordan (1932-1941), Keivin Burns (1941-1946), and Jason J. Nassau (1946-1954) which were accrued by Edmondson in his duties as treasurer. The records of the earlier treasurers primarily contain financial and membership records. As treasurer, Edmondson was responsible for the finances, investments, membership dues, subscription fees, and the financial aspects of many activities of the AAS. The collection includes financial reports, investment reports and documentation, membership lists and member correspondence, subscription payments by members and financial reports of AAS publications, National Science Foundation grant administration, and material related to the funding of visiting professors programs. The treasurer's financial reports, work on AAS investments, and the Visiting Professors Program are grouped in separate subseries, and the documents regarding the Treasurer's role in membership and journal subscriptions are also grouped together.
Edmondson's role as Treasurer also obligated him to attend every meeting of the AAS, and his papers include an almost complete set of material on AAS meetings from 1954 to 1979. As treasurer, Edmondson was a member of the executive council and received reports and correspondence on almost all of the AAS's activities, which included committee, and division activities. As an executive council member, he received complete sets of the executive council minutes, including a set of the minutes from 1898 to 1922. There is also extensive correspondence with the American Institute of Physics, discussing the relationship between the two organizations, the Astronomical Journal, and AAS member problems. Correspondence and financial information on the Astrophysical Journal and the Bulletin of the American Astronomical Society are also present in the collection.

The papers were donated by the American Astronomical Society. They were transferred to the Niels Bohr Library in 2001 from Indiana University Archives at the request of Frank Edmondson, where they had been part of his faculty papers there. An additional donation of 2 linear feet was made by Frank Edmondson in July 2003. The two rolled copies of the oversized group photograph taken at the 106th A.A.S. meeting in Mexico City (August 1960) were donated by Paul Routly.
This collection was processed by
Dr. Franklin Noll from December 2001 to March 2002. The addition to the collection was processed by Kate Fritz in October-November 2003. in
2003.
Newspaper articles and materials on deteriorating, high-acid paper were photocopied onto acid-free paper and the originals were removed from the collection. All staples were removed and replaced with corrosion-resistant paper clips when appropriate. Documents and other materials were rehoused in archival quality, acid-free folders and boxes. Notations made by the processor to assist with identification were made in pencil and enclosed in square brackets. All other notations were previously on the documents in the collection when it was received.

Subsubseries 1: Correspondence
General correspondence refers to correspondence relating to the general, incidental, and ancillary duties of the treasurer. In the cases of education and publication-related committees, numerous overlapping and sometimes indistinguishable committees have been grouped together. Education committees include the Committee on Education in Astronomy, the Cooperative Committee on Teaching of Science and Mathematics, and the Task Group on Education in Astronomy. Publication Committees include the Committee on Publications, the Committee for the Distribution of Astronomical Literature, and the Ad-Hoc Committee on Publications.

Subseries A: Correspondence
This subseries contains correspondence relating to membership, member subscriptions to journals published by the AAS, AAS's relationship with the American Institute of Physics (AIP), and the publication of the Astronomical Journal, the Astrophysical Journal, and the Bulletin of the American Astronomical Society. Responsibility for subscriptions to and the circulation of the Astronomical Journal was transferred from the University of Chicago Press to the American Institute of Physics in 1960. Correspondingly, many documents relating to those services after 1960 reside in the AIP Correspondence files.

The documents in these files are not limited exclusively to those pertaining directly to the management or awarding of the relevant National Science Foundation (NSF) grants and often contain other documents relevant to the operation of the program which are unrelated to the NSF grant. Furthermore, many of the projects were conducted by the Committee on Education in Astronomy (CEA) which received much of its operational income from the NSF grants. As a result, files often contain material on the meetings of the CEA because meeting expenses were paid from NSF funds and documents dealing with a specific NSF-grant project sometime include references to other activities of the CEA. Finally, the management of NSF grants was shared with the executive officer beginning in mid-1963. All such tasks were totally taken over by the executive officer in late 1964.
